About Drapano

Drapano is tool-fleet software for tradespeople and small fleet managers. It was built by its founder to keep track of his own workshop, then opened up.

Who operates it

Drapano is operated by Pilot Fish Limited, a company registered in Cyprus. Contracts, billing and data controllership sit with that entity.

Where your data lives

Drapano runs on servers physically located in Cyprus, operated by ENAHOST s.r.o. as our hosting sub-processor. Your data does not leave the European Union, and it is not stored on a hyperscale cloud.

See the privacy policy for the full detail. Your rights under the GDPR (Regulation (EU) 2016/679) include erasure under Article 17 and data portability under Article 20. The CSV export inside the app satisfies the second without you having to ask us for anything.

How the label scan works

You photograph the rating plate — the metal or printed panel carrying the brand, model and serial. An AI vision model reads it and pre-fills the tool record, including the specifications that determine which consumables fit: blade diameter, arbor bore, collet size, battery platform. You review the fields before anything is saved. Nothing is written from a scan you have not confirmed.

Scans of tools already in your fleet are detected by serial number and flagged before you save them twice. Up to 20 labels can be scanned in a single batch.

The QR asset tags

Drapano prints QR stickers that open a tool's page in any phone camera. The physics is not arbitrary:

Payload
https://drapano.com/#/a/XXX-XXX — 30 bytes
Symbol
QR version 3, 29 × 29 modules, error correction level M
Printed size
13 mm square on a 35 × 17 mm vinyl tag
Module pitch
0.448 mm — above the ~0.4 mm floor for reliable phone scanning
Finish
Matte clear coat. Gloss reflects, and glare blinds the camera.

Level M rather than the more redundant level Q is deliberate. According to DENSO Wave, which invented the symbology and standardised it as ISO/IEC 18004, level M restores roughly 15% of a symbol’s codewords and level Q roughly 25%. Q is tougher, but the extra redundancy adds modules, and at a fixed 13 mm that drives the module pitch below the 0.4 mm floor. Our 0.448 mm pitch sits about 12% above it. At this size larger modules beat more error correction, because the clear coat already supplies the physical damage protection that redundancy would otherwise buy.

Language

Drapano is fully bilingual in English and Greek, including the tool names the AI writes for you. Search is accent- and case-insensitive in both, and matches across them: search δράπανο and a tool saved as "drill" still comes back.

What it costs

A 14-day trial with every feature, no card required. After that, Pro is €10 per month for 2 users and Team is €29 per month for 10 users. Tool count is unlimited on every plan. Enterprise is priced individually. See pricing.
